We are looking for a Project Proposal and Governance Assistant to join a structured, high-performing team within a dynamic international environment. This is a great opportunity to support critical project coordination and governance activities.
🔹 Your responsibilities
- Project proposal support
- Contribute to the drafting, review, and finalization of project proposals
- Ensure proposals are clear, comprehensive, and aligned with strategic priorities
- Collaborate with subject matter experts to collect relevant inputs
- Assets under construction (auc) coordination
- Track and coordinate the Auc process, ensuring documentation and timelines are respected
- Provide regular status updates and ensure compliance with internal policies
- Governance and portfolio support
- Assist in the preparation of governance meetings: draft agendas, presentations, and minutes
- Support implementation of governance standards and monitor relevant KPIs
- Prepare project portfolio reports for senior management
- Communication and reporting
- Translate technical content into clear, concise updates for internal and external stakeholders
- Document decisions, processes, and project milestones accurately
- Contribute to continuous improvement of project office processes and assist with performance tracking
- Operational flexibility
- Be ready to deputize for senior staff if needed
- Carry out additional duties as required to support project delivery
🔹 Your profile
- Education & experience

Higher vocational training with at least 3 years of relevant experience
OR
Secondary education with at least 5 years of relevant experience
- Solid experience in customer management and project coordination
- Familiarity with project, programme, and portfolio management (P3M) practices

- Technical skills
- Strong command of MS Excel (pivot tables, macros, data connections)
- Advanced proficiency in PowerPoint and SharePoint
- Confident user of Microsoft Office tools (Word, Access, OneNote, etc.)
- Language & communication
- Excellent written and spoken English
- Ability to simplify technical content for non-technical audiences
- Strong interpersonal skills and stakeholder responsiveness
- Additional assets
- Project Management certification (Prince2, PMP) or ITIL Intermediate level
- Background in customer relationship management
- Previous experience in international or intergovernmental settings
- Familiarity with large organizations or structured governance frameworks

- Full-time on-site presence required in Braine-l'Alleud, Belgium
- EU citizenship is mandatory
- NATO Secret security clearance is required prior to start
